Job Description:

The Member Relations Department is responsible for developing and nurturing relationships with ANA members, who work for some of the most prestigious companies in the world. By connecting them to the relevant ANA products and services - market research, committees, training - our goal is to ensure that our members get the most from their membership. The Member Relations team consists of several regional managers who are assigned geographical territories across the country. The Member Relations Coordinator will be responsible for leading all day-to-day administrative activities in support of the regional managers assigned.

Duties and Responsibilities:
  • Support the regional managers in member retention
    • Pull and prepare computer database reports
    • Company roster
    • Individual and consolidated activity reports
    • Initiative and benefits reports
  • Maintain and update member computer database records
    • Update contact info
    • Add new individuals
    • Remove individuals no longer with company
    • Update key contact individuals (member representatives)
  • Field, facilitate and answer member queries
    • Issue password resets
    • Confirm membership benefits
    • Help with ANA website navigation
    • Route questions to other ANA departments as necessary
  • Assist with ANA Event registrations
    • Confirm member registrations
    • Complete member comp registrations
    • Assist with any registration questions
    • Provide agendas and conference info
    • Keep regional managers up-to-date on event attendance
  • Assist in creating communication letters to facilitate member retention and acquisition
    • Work with regional managers to draft content copy
    • Create “special links” for prospect emails o Communicate with various internal ANA departments to include relevant information
    • Ensure that email drafts are completed and sent to Marketing and Communications contact by due date
    • Monitor email metrics (open rates, click rates, unsubscribes, bounces, etc.)
    • Brainstorm ways to increase click and open rates
  • Support the regional managers in member acquisition
    • Pull Advertising Spend reports using Kantar Syndicated software
    • Research new prospect companies (location, eligibility, region, key contacts)
    • Enter new prospect companies and individuals in the computer database
    • Prepare digital or print prospect and proposal packets
    • Research inactive individuals to find new prospect opportunities
  • Facilitate annual dues billing and follow-up collection efforts
    • Work with finance department to confirm billing amounts and prepare dues packets
    • Maintain “Dues Tracker” to stay on top of payment status
    • Review dues status bi-weekly with regional managers
    • Work to resolve dues related inquiries such as misplaced invoices
    • Keep records of invoice-related correspondence
    • Email copies of dues invoice to key contacts as follows:
    • 1 week after dues packet goes out in the mail (~60 days out)
    • Follow up with key contact 30 days prior to due date
    • Follow up with key contact near/on due date
    • Follow up with key contact every 1-2 weeks after due date until invoice is paid
  • Provide finance department with monthly updates
  • Generate and monitor member company health reports
  • Assist regional managers in preparing member briefing presentations
Other
  • Create and document processes and templates
  • Act as the liaison between the membership department and other ANA departments
  • Keep up-to-date on the latest ANA news, content, and events
Qualifications Desired Skills and Experience:
  • A consistent willingness to go above and beyond the minimum required to deliver world-class service and products for our members
  • Minimum 1-2 years’ experience in a coordinator role.
  • Strong business writing, communication, and above-average interpersonal skills
  • Must be highly organized, detailed, accurate and proactive
  • Able to multi-task and balance requests from several managers simultaneously
  • Computer skills; Microsoft Office: PowerPoint, Excel, Word, etc.
  • Familiarity with database management systems is a plus.
  • Responsive to internal needs in a timely, professional manner
  • Resolves and/or escalates issues in a timely manner 
  • Proactive self-starter who can work as part of a team primarily and independently when needed
