The  ANA (Association of National Advertisers)’s mission is to drive growth for marketing professionals, for brands and businesses, and for the industry. The ANA’s membership consists of more than 1,600 domestic and international companies, including more than 1,000 client-side marketers and nonprofit fundraisers and 600 marketing solutions providers (data science and technology companies, ad agencies, publishers, media companies, suppliers, and vendors). Collectively, ANA member companies represent 20,000 brands, engage 50,000 industry professionals, and invest more than $400 billion in marketing and advertising annually.

Position Summary

ANA Sponsorships and Partner Programs provide the opportunity for interested companies to have exposure to, and engage with, ANA members and other industry leaders. The successful candidate, reporting directly to the Senior Vice President, Sponsorship & Partner Programs, must be highly motivated and an organized self-starter who will take the initiative to get the job done. Hands-on, service and sales-oriented attitude a must. Strong writing, data entry, and people skills also are essential. In addition, we place a high value on relevant personal qualities: independence, energy, a commitment to quality and teamwork. The ideal candidate will have a B.S./B.A. degree. Knowledge of Excel, PowerPoint, database management and social media platforms is strongly preferred.

Job responsibilities
  • Work with sponsors and partners on all logistics needs before, during and after a conference including updating the sponsor checklist, requesting logos, shipment tracking, and location of sponsor materials.
  •  Onsite sponsor coordination at each of ANA’s nine national industry conferences (travel required)   to help set up sponsor related activities such as sponsor speaker rehearsals, collateral distributions, and signage.
  •  Register and track all ANA partner conference registrations.
  •  Create and update sponsor spec sheets for each national industry conference.
  •  Post appropriate conference sponsor attribution to the ANA website when applicable.
  •  Create and send out invoices upon receipt of signed agreements and coordinate with Finance to      track incoming payments.
  •  Manage all sponsor related items for inclusion in the ANA Events App and signage.
  •  Collect signed speaker letters, bios and photos for inclusion on the ANA website and ANA Events   App as well as coordinate presentation materials with AV team.
  •  Register all sponsor and partner complimentary passes including inputting and updating the database (correcting errors, updating titles and other information as necessary).
  • Assist in answering incoming sponsor phone calls and emails related to their sponsorship program in a friendly and timely manner.
  • Manage shipping of sponsor-related supplies and signage for each conference – work with the mailroom to ensure all supplies are shipped and returned to ANA.
  • Help with PowerPoint/presentations for mid-year check-in documents, annual planning documents and year-end check-in documents, as needed.
  • Assist with the implementation and execution of “ANA Unplugged”, a series of networking events designed to help get sponsors closer to ANA members which take place quarterly in ANA headquarters.

Skills and Experience
  • Consistent willingness to go above and beyond the minimum required to deliver world-class service  and products for our sponsors and partners
  •  Minimum 1-2 years experience in a coordinator role
  •  Strong business writing, communication, and above-average interpersonal skills
  •  Must be highly organized, detailed, accurate and proactive
  •  Able to multi-task and balance requests from several managers simultaneously
  •  Proficiency in Microsoft Office: PowerPoint, Excel, Word, etc.
  •  Responsive to both internal and external needs in a timely, professional manner
  •  Resolves and/or escalates issues in a timely manner
  •  Proactive self-starter who can work as part of a team primarily and independently when needed
